Site inspection reports in Word: photos, your logo and room for review.
An inspection report template in Word gives the person reviewing the work an editable document. Keep the job details, system headings, numbered findings and photographs consistent, then use your company's review process before issuing the final report.
1. Build a structure the next reviewer can follow
Start with the property or site address, client, inspection date, inspector, report identifier and revision. Record the agreed scope and any access or operating limits. These details help the reviewer understand what the observations cover.

Record whether each system was inspected, access was limited, it was not inspected, or it was not present. Leave an unanswered section marked as not recorded. A blank field does not establish satisfactory condition.

2. Give each finding a location and a photo reference
A photograph needs enough context for someone who was not on site. Assign a stable finding number and record the location, observed condition, recommended next step and supporting image number. Separate what was seen from what still needs investigation.
Fictional wording example · 6.1 Plumbing
Location: Bathroom vanity.
Observation: Fresh droplets appeared beneath the drain after the tap was run. The cabinet base was stained. The source was not confirmed.
Recommendation: Have a qualified plumber identify the source and advise on repair.
Evidence: Photo 1, vanity drain and cabinet base.
Insert a wider context photo when a close-up would be difficult to locate. Keep captions and references aligned when you reorder images. Do not add measurements, test results or a diagnosis that the field record does not support.

3. Keep your company's Word template and logo
If your firm already has letterhead and a reviewer signature area, work on a copy of that .docx file. Preserve the elements your team uses to identify the project and revision.

The export inserts editable report paragraphs; it does not map findings into arbitrary cells or redesign an existing document automatically. The custom Word export guide lists every supported placeholder and the current limits.
4. Separate field capture from professional approval
The technician records the observations. The responsible reviewer checks scope, wording, severity, evidence and the actions recommended. Keep the draft visibly identified until your own approval process is complete.
In Word, use Track Changes if the reviewer needs to show proposed edits. Review and accept or reject those edits before issuing the document. Microsoft explains the process in its Track Changes guide. Complete your firm's signature and revision process after the content is approved.
FieldScribe supplies an editable draft. It does not perform engineering approval, verify credentials or certify a signature. Follow the requirements that apply to the actual inspection and deliverable.
5. Choose the format for the handoff

After Word review, you can create a PDF from that final Word file using Microsoft's PDF export instructions. Edits made outside FieldScribe do not automatically sync back to the saved report, so keep the approved deliverable in your own project records.
Common Word inspection-report questions
Can I download a free inspection report template in Word?
Yes. The linked .docx starter is free to download without an account. It contains job-detail placeholders, a report insertion paragraph and a reviewer signature area. Replace the placeholders manually in Word, or use it with FieldScribe's paid report export. It is not a completed inspection or a jurisdiction-specific mandatory form.
Can I use my own company logo and remove FieldScribe branding?
Yes. The $2.99 upgrade applies to one saved report and unlocks company branding, editable Word export and customer Word templates. In a custom template, keep your logo in the template's existing letterhead. The initial report purchase is separate.
Are photographs included in the Word document?
Standard Word exports include photos available on the browser that captured them. With a custom Word template, insert and arrange photos manually after export. Keep the photo numbers consistent with the report findings. Original image files do not currently sync between devices.
Can an engineer review, edit and sign the report?
The exported .docx is editable in Word. Your reviewer can change wording, use Track Changes and complete the company's own approval and signature process. FieldScribe does not provide engineering approval, digital-signature certification or a collaborative review portal.
How much does the first report with Word export cost?
The first report is $9.99 USD and the optional Word and branding upgrade is $2.99 for that saved report: $12.98 before any applicable taxes. Repeat downloads and edits to that report do not require another branding upgrade.
